This Privacy Policy applies to the QuickCoach platform and all related products, services, and websites operated by FitFocus IO PTY LTD, including www.quickcoach.fit (collectively, "QuickCoach", "we", "us", or "our").

01Introduction

QuickCoach is owned and operated by FitFocus IO PTY LTD. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you access our websites, use our platform, and interact with our services.

We are committed to protecting your privacy in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). Where applicable, we also comply with international data protection laws, including the GDPR for users in the EU and UK.

By using QuickCoach, you acknowledge that you have read and understood this Privacy Policy and consent to the collection, use, and disclosure of your information as described.

02Acquisition & Data Continuity

FitFocus IO PTY LTD acquired QuickCoach in December 2025. As part of this acquisition:

  • Existing QuickCoach user data was lawfully transferred to FitFocus
  • No reduction in privacy protections occurred
  • All personal information is now handled under this Privacy Policy

If you were a QuickCoach user prior to the acquisition, your continued use of the platform constitutes acceptance of this updated Privacy Policy.

03Information We Collect

3.1 Types of Data Collected

We may collect the following categories of personal information:

Personal Information

  • Name
  • Email address
  • Contact details
  • Date of birth
  • Gender

Health & Fitness Data

Where QuickCoach features support health, fitness, or performance tracking, we may collect:

  • Age, height, and weight
  • Fitness metrics and performance data
  • Training history and activity data
  • Health-related information voluntarily provided by users or their clients
  • Nutritional or lifestyle-related inputs

Health and fitness data is collected only where necessary for service delivery and with user consent. Where you have separately agreed to take part in research, it may also be used to produce aggregated, de-identified insights. See section 13.

Media

  • Photos, videos, and documents voluntarily uploaded to the platform

Usage & Technical Data

  • IP address
  • Approximate country, worked out from your IP address using a local geolocation database
  • The time zone your browser reports
  • Device type and operating system
  • Browser type
  • Access times
  • Platform usage patterns and interaction data

We record an approximate country and a time zone when you sign in. We use them for two things: showing you times in your own zone, and working out which privacy rules apply to you before we invite you to take part in market research (see section 13). We do not use them to work out a precise location, and the lookup happens on our own servers against a database we hold, so your IP address is not sent to a geolocation service.

3.2 Methods of Collection

We collect information through:

  • Direct user input during registration and platform use
  • Forms, surveys, and customer support interactions
  • Optional market research surveys, where you have agreed to take part (see section 13)
  • Automated technologies such as cookies and analytics tools
  • Third-party integrations and APIs used within QuickCoach

3.3 User Consent

We collect personal information only with your consent or where otherwise permitted by law. By using QuickCoach, you consent to the collection, use, and disclosure of your personal information as described in this Privacy Policy.

You may withdraw consent at any time, subject to legal or contractual limitations.

04Purpose of Data Collection

4.1 Primary Purposes

We collect and process your information to:

  • Provide, operate, and maintain the QuickCoach platform
  • Enable coaches, trainers, and professionals to manage their clients
  • Deliver health, fitness, and performance-related features
  • Provide insights, tracking, and program management tools
  • Communicate service-related updates and notifications

4.2 Secondary Purposes

  • Product development and feature improvement
  • Analytics and performance monitoring
  • Customer support and issue resolution
  • Market research, including aggregated and de-identified health and fitness insights, but only for people who have agreed to take part (see section 13)
  • Compliance with legal and regulatory obligations

4.3 Third-Party Services

QuickCoach uses third-party service providers to support platform functionality, including (but not limited to):

  • Cloud hosting and infrastructure providers
  • Analytics and monitoring tools, including PostHog, which we also use to deliver the optional research surveys described in section 13
  • Communication and notification services
  • AI and data-processing services

We also use a MaxMind GeoLite2 database to turn an IP address into an approximate country. The database is a file stored on our own servers. MaxMind does not receive your IP address or learn that a lookup happened.

Where possible, data shared with third parties is anonymised or minimised. We select providers that follow industry-leading security practices, including compliance with standards such as ISO, SOC, and HIPAA where applicable.

05Data Security

5.1 Security Measures

  • Secure, password-protected systems

  • Encryption of data in transit and at rest
  • Secure authentication and authorisation protocols
  • Regular monitoring, testing, and security reviews

5.2 Data Storage

Data is primarily stored using secure cloud infrastructure, including Australian-based data centres. We have the capability to support data storage in other regions where required or requested.

5.3 Data Breach Response

In the event of a data breach that is likely to result in serious harm, we will notify affected individuals and relevant authorities in accordance with applicable laws.

06Data Sharing & Disclosure

We do not sell, rent, or trade personal information.

We may disclose personal information:

  • To trusted service providers under confidentiality agreements
  • Where required to comply with legal obligations
  • To protect against fraud, misuse, or security threats
  • In connection with a merger, acquisition, or asset sale

07Cookies & Tracking Technologies

7.1 Use of Cookies

  • Authenticate users
  • Maintain sessions
  • Track platform usage
  • Improve user experience and performance
  • Recognise you across visits for product analytics, and show a research survey once rather than repeatedly

7.2 User Control

You can manage or disable cookies through your browser settings. Disabling cookies may affect certain platform features.

08Children's Privacy

QuickCoach is not intended for use by individuals under 16 years of age. We do not knowingly collect personal information from minors and take reasonable steps to prevent underage account creation.

09International Data Transfers

While FitFocus primarily operates in Australia, QuickCoach may process or store data in other countries. Where international transfers occur, we ensure appropriate safeguards are in place to protect your personal information.

Our product analytics provider, PostHog, stores data on infrastructure in the United States. Usage and interaction data, and the answers to any research survey you choose to take, are processed there. Where we transfer personal data of people in the EU, the UK or Switzerland to a country without an adequacy decision, we rely on Standard Contractual Clauses with the provider.

10Data Retention & Deletion

10.1 Retention Periods

  • Active accounts: Data is retained for as long as required to provide services
  • Closed accounts: Data is retained unless a deletion request is submitted
  • Legal obligations: Certain data may be retained where required by law

10.2 User Rights

  • Request access to your personal data
  • Correct inaccurate information
  • Request deletion of your data
  • Withdraw consent where applicable

10.3 Third-Party Data Deletion

Where data has been shared with third-party providers, we take reasonable steps to ensure deletion aligns with our policies upon user request.

11Your Privacy Rights (Australia)

Under the Privacy Act 1988, you have the right to:

  • Access personal information we hold about you
  • Request corrections
  • Make a complaint regarding privacy handling

12EU & UK Residents (GDPR)

If you are located in the EU or UK, you have additional rights under GDPR, including:

  • Access, rectification, and erasure
  • Restriction or objection to processing
  • Data portability
  • Withdrawal of consent

12.1 Legal Bases for Processing

  • Performance of a contract
  • Legal obligations
  • Legitimate interests
  • Explicit consent

Market research is the one activity where we rely on your explicit consent and nothing else. We do not rely on legitimate interests to enrol anyone in the EU, the UK or Switzerland in research. If we cannot establish that you are outside those regions, we treat you as inside them and ask you first. Withdrawing that consent stops any further use of your answers for research and does not affect anything else about your account.

13Market Research & Surveys

We run short market research surveys inside QuickCoach. They ask about health and wellness brands: which ones you have heard of, which you use, what you think of them. We report the results to the brands who commission them as trends across a group of people. Your name, email address and account never form part of what we hand over.

13.1 Taking Part Is Optional

Research is not part of the coaching service and has no effect on it. Nothing about your account, your plan, your clients or your price changes because of whether you take part. Declining costs you nothing.

You will be asked before any of your data is used for research. Joining takes a clear yes.

There is one exception, and it never applies to anyone in the EU, the UK or Switzerland. Where we have established that an adult account holder is outside those regions, we may instead tell them that they have been included and give them a standing way to opt out, rather than asking first. We record which of the two happened for every person. If we cannot establish where somebody is, we ask them. Anyone who has ever declined is asked from then on and never simply told.

13.2 What We Use, and Why

Research answers are only useful if they can be reported by group, so we may use your date of birth and gender to describe the group your answers belong to (for example, women aged 35 to 44 in Australia). Both are optional to provide.

Where you have agreed to take part, we may also use the health and fitness data already held in your QuickCoach account to build those groups. That use is always aggregated and de-identified. The output is a trend across a group of people, of the form "women aged 25 to 34 who average 5,000 or more steps a day". The count is what leaves. The people behind it do not.

We do not hand over records. No brand or research partner receives your training history, your measurements, your logs, or any other health information attached to you, and none of them can ask us who is in a group or work backwards to find out.

We report a group only when it is large enough that nobody in it can be singled out. Where a group is too small for that, we suppress it rather than publish it.

If you have not agreed to take part, none of your data is used for this at all.

13.3 Changing Your Mind

You can turn research participation on or off at any time from your account preferences. We keep a dated record of every decision you make, including the version of this policy it was made against, so that we can show what you agreed to and when.

Turning it off stops any further use of your data for research. Answers already included in a finished, aggregated report cannot be pulled back out of it, because that report no longer identifies anyone.

If the wording of what we ask changes in a way that matters, we ask again rather than relying on an old agreement.

13.4 Coaches and Their Clients

A coach's decision covers the coach's own participation and nothing else. It does not enrol their clients, a coach cannot answer on a client's behalf, and a coach agreeing does not place any client's health or fitness data into an aggregate. Each person's own decision governs their own data.

Where a coaching business is under a contract that does not permit research, we switch it off for everybody in that business and no one there is asked.

13.5 Who Sees the Results

Brands and research partners receive counts and percentages across groups, whether those come from survey answers or from aggregated health and fitness data. They do not receive anything attached to you, they cannot ask us who answered what or who sits inside a group, and we do not sell personal information to them. Section 06 applies here in full.

14Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The "Last Updated" date will reflect the most recent version. Continued use of QuickCoach constitutes acceptance of any revised policy.
