1 List every recurring per-client task
Programming, check-in replies, messages, form review, anything that repeats every week for every client.
2 Put honest minutes against each, and total them
Time yourself for a week if you are guessing. Add them up for your minutes per client. Be honest: most of this is admin, not coaching.
3 Count your true weekly delivery minutes
Hours you will actually spend on clients, not hours you wish you had. Twenty hours (1,200 minutes) is a realistic full-time figure once marketing, sales, and admin are removed.
4 Divide for your ceiling
Your weekly delivery minutes divided by your minutes per client. That is your ceiling at your current service depth.
