Ten clients is the common starting point for a dedicated prep coach. At 25 clients

Twenty-five clients is a serious prep roster. At roughly $400 to $600 a month per client in this segment, revenue is healthy, but the software cost also climbs on every platform that scales by client count. This is where the slider platforms start to bite.

Forty clients is near the ceiling of what one prep coach can run well, given the check-in load through peak week. At this size, software cost is a real line item, and the platforms that scale by client count are charging for it.

At 40 clients the flat-versus-slider story is clearest. Trainerize with nutrition is $180 a month on monthly billing. TrueCoach is $164.98. QuickCoach is still $39. Even on annual effective rates, Trainerize ($167) and TrueCoach ($136.99) are several times the QuickCoach figure. The high-fee physique segment can absorb a slider's top end, but the margin per client is meaningfully better when the software line stays flat.

The honest-cost call

Free tiers rarely fit a physique prep coach. The work needs nutrition logging, photo check-ins, and usually a branded client experience, none of which the free tiers on Trainerize, Everfit, or even QuickCoach fully cover. QuickCoach Free supports up to 20 clients with no time limit, but it lacks the Pro nutrition and habit-tracking modules a prep coach needs, so the honest starting point is Pro, not Free.

QuickCoach Pro at $39 a month, or $32.50 a month on the $390 annual plan, is the honest flat price. Nothing stacks on top. Nutrition is in the plan. Rich check-ins are in the plan. Branded client app and emails are in the plan. The only optional extras are Coach Workflows at $14.99 a month for automated check-in summaries, and the Nutrition Booster Pack at $12.99 a month for barcode scanning. The barcode add-on is the only nutrition-related extra, and it is optional. Food photo scanning, calories, and macros are core Pro, not the booster.

The competitor stack tells a different story. Trainerize's nutrition add-on moves from $20 a month to $45 a month the moment you cross from Pro 15 into Pro 30, and the base plan itself steps up the slider at every bracket. TrueCoach jumps from Standard to Pro at 21 clients, which nearly doubles the bill in a single step. Everfit's slider is gentler but still climbs, and the Meal Plans and Recipe Books add-on at $39 a month is hard to skip for a prep coach writing structured peak-week nutrition. My PT Hub stays flat at $105 a month, which is competitive at 40 clients but expensive at 10. PT Distinction's per-client extra pricing is friendly, but only Pro and Master include the branded apps a prep coach usually wants.
