A coach running a 40-person challenge and a coach running four one-to-one clients can pay wildly different amounts for software doing broadly the same work. What group coaching software costs is decided less by the feature list than by the axis each vendor chose to charge on, and group coaching is where those axes stop agreeing with each other.

One platform charges a flat rate however many people you coach. Another sells you a band of client seats and steps the price up when you cross into the next band. Another bills per location, or per trainer you add, or per client beyond the number bundled into your tier. At four clients, none of that matters much. At a 100-person challenge that renews every eight weeks, it is the entire cost of the thing.

Every figure below is a vendor's own published rate, labelled with the billing basis it was quoted on. Nothing here is a promotional price, and nothing blends a monthly rate with an annual one.

How much does group coaching software cost?

Quick answer

At 50 clients, published monthly rates run from $39 on QuickCoach Pro, which is flat and unlimited, to $59.90 on PT Distinction, $105 on My PT Hub and Everfit, $135 on Trainerize and $164.98 on TrueCoach. At 100 clients the flat price stays $39 while slider and per-client platforms climb.

Two house rules on reading that. Where an annual figure appears in brackets it is the per-month effective rate you get by paying for a year up front, never a blended number. And this page is published by one of the six platforms in it, which is the reason the rest of it names the band behind each price and says plainly where the flat price loses.

Four ways a platform can price a group

Strip away the feature lists and almost every platform in this category prices group delivery one of four ways. Which one you are looking at tells you what happens to your bill when the cohort doubles.

Flat, by plan

QuickCoach charges the same $39 a month whether the group holds 25 people or 100. Client count is not an input to the price at all. Pro is $39 on monthly billing, or $32.50 a month effective when you pay $390 for the year, and it covers an unlimited roster. The free tier holds 20 active clients with no time limit, so the flat price only begins above 20.

By client-count band

This is the most common shape, and the one coaches underestimate. You buy the band that covers your roster, and the price steps up as you cross into the next one. Everfit's Pro and Studio sliders work this way, and so does Trainerize's Pro slider. PT Distinction does it in two moves: a tier that bundles a set number of clients, plus a per-client charge for everyone above it.

Per location

Trainerize's Studio tiers are priced for each location rather than each coach. Studio Plus is $275 a month per location, or $248 a month per location on annual billing, for up to 500 clients at that site. Studio Max is $380 a month per location ($342 annual) for up to 1,000. Run two sites and you buy it twice.

Per trainer

My PT Hub's Premium tier is $105 a month for unlimited clients, which sounds flat until you add staff. Every additional trainer is $15 a month on top, so a three-trainer studio is paying $135 before a single other add-on.

What these figures cover

Every number on this page prices the coaching stack: the program builder, the client app, the check-ins and the group assignment. None of them includes appointment booking, class timetabling, an attendance register or payment processing. If your group needs those, add a scheduler or a payment processor to every row in the table below, including ours. QuickCoach has no class timetable or attendance register, and no group buy-in link. What a flat price removes is the per-head programming and onboarding, not the logistics.

The ledger at 25, 50 and 100 clients

Monthly figures are the monthly billing rate. A figure in brackets is the per-month effective rate on annual billing. Where a platform prices by band, the band is named, because the band is what you actually buy.

Platform 25 clients 50 clients 100 clients
QuickCoach $39/mo ($32.50/mo annual) flat, unlimited $39/mo ($32.50/mo annual) $39/mo ($32.50/mo annual)
Everfit $105/mo ($88/mo annual), Studio 50 band is the entry point $105/mo ($88/mo annual), Studio 50 band $165/mo ($138/mo annual), Studio 100 band
My PT Hub $105/mo ($90/mo annual), Premium, unlimited clients $105/mo ($90/mo annual) $105/mo ($90/mo annual), plus $15/mo per extra trainer
Trainerize $79/mo ($71/mo annual), Pro 30 band $135/mo ($122/mo annual), Pro 50 band $225/mo ($203/mo annual), Pro 100 band
PT Distinction $59.90/mo, Pro, 25 clients included $89.90/mo, Master, 50 clients included $169.90/mo, Master plus 50 extra clients at $1.60 each
TrueCoach $164.98/mo ($136.99/mo annual), Pro, 50-client cap $164.98/mo ($136.99/mo annual), Pro, 50-client cap Custom quote, since Pro caps at 50 clients

Two rows need a word of explanation. Everfit's group capability sits on the Studio tier, and Studio's lowest band is 50 clients, so a 25-client group pays the 50-client floor rather than a smaller price. PT Distinction's $169.90 at 100 clients is its Master tier, which is $89.90 for 50 clients, plus 50 extra clients at $1.60 each per month.

TrueCoach is the row that shows what happens when a platform has no group concept at all. Its ceilings run 5, 20 and 50 active clients, so a roster of 100 means a custom quote arranged with sales rather than a published rate you can plan against.

The fees that hide inside group tiers

The table prices the tier. It does not price everything that gets attached to it, and that is where two $105 platforms stop being the same number.

Trainerize bundles its paid add-ons into Studio Plus and Studio Max, which is part of why those tiers cost what they do. Stay on the Pro slider and they stack instead. A custom branded app is $169 one-time, plus a $99-a-year Apple Developer fee. Advanced nutrition coaching runs $20 a month up to the Pro 15 band, then $45 a month from Pro 30 upward. Business, Stripe payments and video coaching are $25, $10 and $10 a month.

Everfit's Studio tier bundles On-Demand Collections, Autoflow and the meal plan add-on. On Pro you buy those separately, and Autoflow is the one that moves, starting at $29 a month on monthly billing ($24 annual) and stepping up in 30-client increments as the roster grows. Payments and Packages is $9 a month ($8 annual).

My PT Hub keeps every add-on separate on Premium. Extra trainers are $15 a month each and the custom-branded app is a $145 one-time fee. The full white-label app, with its own App Store listing, is $225 a month. Check-Ins AI is $18 a month and Zapier is $30 a month. Premium itself is unlimited on clients, so the cost that scales here is staff rather than roster.

PT Distinction scales on clients instead. Its extra-client charge is $6.00 a month on Basic, $2.40 on Pro and $1.60 on Master, and only Pro and Master include custom-branded iOS and Android apps. Basic runs on the unbranded PT Distinction app.

TrueCoach does not disclose a platform-level transaction fee. Payments run through Stripe at Stripe's own rates, and custom theming is included from the Standard tier up, which means your logo and colours inside an app still listed as TrueCoach rather than your own store listing.

QuickCoach's group features sit inside Pro rather than on top of it, so the flat $39 is the whole software bill for the coaching stack. The two optional add-ons are genuinely separate, Coach Workflows at $14.99 a month and the Nutrition Booster Pack at $12.99 a month, and neither is required to run a group. Client Billing is optional too and is not part of the $39. If you use it to charge clients by card through your own Stripe account, QuickCoach takes 12.5% of each payment on Free and 3.5% on Pro. Stripe's processing fee comes on top, at Stripe's rate for your country. Bill your own way and QuickCoach takes nothing.

Where flat pricing wins, and where it does not

The honest case for flat pricing is a slope rather than a starting price.

Per-client and banded pricing is cheap while the roster is small and expensive once it is not. Below roughly five clients, sliders start under $39: Everfit Pro at $19 a month for five clients, Trainerize Pro 5 at $25, TrueCoach Starter at $29.98. If you coach four people, a banded platform is the cheaper answer, and no amount of flat-price argument changes that.

The curve flips quickly. By 100 clients the flat price is still $39 while the banded platforms in this table sit at $165, $169.90 and $225, and the per-location one is $275 for a single site. A coach running a 100-person challenge eight times a year is not choosing between $39 and $165 once. They are choosing it every cycle.

Flat pricing has a limit too, and it is not a small one. It wins when the job is programming a group and checking in on it, which is the work the group coaching pillar covers. It loses when the job is running a facility. If you need timetabled classes, attendance records, in-app member payments or a front desk, a studio tier that bundles those is often better value than a flat programming plan with four separate subscriptions bolted alongside it. Trainerize's Studio Plus at $275 a month per location looks expensive next to $39 until you price the tools it replaces.

The free tier is what makes the flat side of this ledger usable at all. QuickCoach holds 20 active clients at no cost with no time limit, enough to run a real small group and find out whether the programming workflow suits you before any price is involved. Nobody else in the table offers a working free tier: Trainerize's free plan holds one client, Everfit's holds five, and TrueCoach and My PT Hub have none at all.

The honest read

Ask every vendor the same question before you choose: what do I pay at 100 clients, and does that change if I add a second trainer or a second location? An entry price answers none of it. Most of the platforms here change price on an axis that has nothing to do with how much work you are asking the software to do.

If your group is programmed rather than scheduled, the flat side of the ledger is a real advantage and it compounds as the roster grows. If your group is scheduled, bookable and paid for at the door, the software that does those jobs earns its tier, and no flat programming price substitutes for it.

The quickest way to test the flat side on your own roster is the free tier: 20 clients, no card, no time limit, group assignment included. If you are weighing the wider decision rather than the group question alone, the framework is in our guide to how to choose coaching software in 2026. The free-versus-paid trade-off is set out separately, in free versus paid coaching software.

The same ledger method applied to branding rather than groups, priced at 10, 20 and 50 clients, is in what a branded coaching app costs. What the flat price actually covers is on the QuickCoach Pro features and pricing page, and the wider index of cost and niche guides sits in the coaching guides hub.

Frequently Asked Questions

What is the cheapest way to coach 100 clients online?

On published monthly rates, QuickCoach Pro is $39 a month for unlimited clients, with no per-client charge above that. My PT Hub Premium is $105 a month for unlimited clients, plus $15 a month for each additional trainer. The banded platforms cost more at that size: Everfit $165, PT Distinction $169.90 and Trainerize $225, all on monthly billing.

Do I need a studio tier to run a group?

Not on QuickCoach, where group assignment and group sign-up links are part of the standard Pro plan at $39 a month. On the other platforms in this table the group capability is either a banded tier (Everfit Studio), a slider band (Trainerize Pro) or absent entirely (TrueCoach, which has client ceilings and no group concept).

Do these prices include booking and payment processing?

No, and that is true of every row including ours. These are software subscription prices for the coaching stack: programming, the client app, check-ins and group assignment. Class timetabling, attendance and client payments need a separate tool, so add that cost to whichever platform you choose.

Why does Everfit cost the same at 25 clients as at 50?

Because Everfit's group capability sits on the Studio tier and Studio's lowest client band is 50. A 25-client group pays the 50-client floor of $105 a month on monthly billing, or $88 a month effective on annual billing, rather than a smaller price.

Is there a platform that does not charge per client?

QuickCoach Pro does not: $39 a month, or $32.50 a month effective on annual billing, covers an unlimited roster. My PT Hub Premium is also unlimited on clients at $105 a month, but charges $15 a month for each additional trainer and keeps its other add-ons separate. Everfit Studio runs up to 500 clients, but the price moves with the band.
